Archive and Delete

Remove a car from the working inventory by deleting it or by archiving it

This guide removes a car from the working inventory.

Requirements: The Owner or Manager role.

Delete or archive one car

  1. Open the car and select the menu with the label More actions for followed by the car name. Alternatively use the same menu on the row in the list.
  2. Select Delete.
  3. Read the dialog. The dashboard checks what is recorded against the car.
  4. Confirm with the button that the dialog offers.

The dialog has one of three outcomes.

A deleted car is removed together with its photos, videos, documents and history. This cannot be undone. The dashboard returns to the inventory list and shows a message.

An archived car keeps every linked record. It leaves the working inventory and the car pickers of the deal, task and transaction forms. The dashboard returns to the list and shows a message.

Deleting a car is permanent. Archive the car when it has ever carried a cost or a deal.

Delete several cars

  1. Tick the cars in the list.
  2. Select Delete in the strip that shows the number of selected cars.
  3. Select the button that reads Delete followed by the number and the word cars.

The dashboard deletes each car separately. Cars with transactions, expected transactions or deals are skipped. Archive those cars one at a time. Two messages report the number of cars removed and the number that could not be removed.

View and return archived cars

  1. In Inventory, select Show archived cars.
  2. Open the car. The page shows the badge Archived.
  3. Open More actions for and select Return to inventory.

The car returns to the working inventory at once. No confirmation appears. A message states that the car was returned.

Rules

  • The archive view and the working inventory never mix in one list.
  • The counts, the filters and the stage chips describe the view that is open.
  • A team member needs the delete right to archive or return a car, because the same right covers all three actions.
  • Jobs do not block a delete. Only transactions, expected transactions and deals do.

Result

An archived car does not appear in the working inventory. Reports and ledgers still name the car.
