Audit Log

Review who changed or viewed what in the dealership, filter the entries and export them

The audit log records changes and views of sensitive data across the dealership. Each entry names the member, the action, the record, the result and the time. It answers who did what, and when.

Requirements:

  • Only the owner may open Audit Log. The section does not appear in the menu for other roles. A direct visit by another role returns to the dashboard.
  • The dealership plan must be Trade, Export or Custom. On Starter, the page shows the card The Audit Log Is Not Included In This Plan with the button Upgrade Plan. The button opens Billing.
  • Recording starts on the day a plan that includes the audit log begins. Nothing earlier is available.

Entries are kept for six months from the day they were made. Older entries are removed and cannot be shown or exported.

What the log records

KindEntries
ChangesEach change made in the dashboard, such as an added, edited or deleted record. An attempt that the dashboard refused is recorded with the result Refused.
ViewsA view of financial, customer or partner data. This covers finance totals, transactions, invoices and invoice documents, customer and partner records and lists, deals, messages, notes and documents, and money due and cash flow.
Sign-inEach sign-in, and each failed sign-in attempt against an address that has an account in the dealership.
AccountA password change, a password reset and its request, an email change and the end of a session.
TeamAn invitation sent, cancelled or accepted, and a member added, removed or given another role.
LinksA customer, partner or task link issued or revoked, and a change to the password of a partner portal.
ExportAn export of the audit log itself, shown as Exported Audit Log.

The same member viewing the same record again within ten minutes is one entry.

The log does not record the following.

  • Page navigation, and views of data that is not listed above.
  • Activity of customers and partners on their portal links.
  • Actions of the Carlio support staff.
  • The contents of a change. The entry names the record, not the values that were entered.

Open the audit log

  1. Open Settings and select Audit Log.
  2. Read the table. The newest entry is first.
ColumnShows
TimeThe date, the hour and the minute. Hover over the time to read the seconds and the time zone.
MemberThe name, the role and the email address at the time of the action. The badge Former marks a member who has since left.
ActionThe action, with an icon for a change or a view. Actions without a fixed name show the area and the action.
RecordThe type of record and its identifier.
ResultSuccess, Refused when the dashboard refused the action, or Failed.
IP AddressThe address of the device. This column is hidden until it is turned on.

Select Columns to show or hide a column.

A member who leaves the team keeps the name and the email address in the log until the entries expire. A former member's details are removed six months after the day the member left.

Filter the entries

  1. Select Add Filter.
  2. Select a field and then a value.
FilterNarrows the entries to
TypeChanges or Views.
MemberOne member. The list offers a search field.
AreaOne area of the dashboard, such as customers, invoices or deals.
DateA range with From and To. The last day of the range is part of the range.

Each filter shows as a chip above the table. Select Clear All to remove every filter.

Move between pages

The table shows 10, 25 or 50 entries on a page, never more. Select a value in Rows Per Page at the bottom right to change the number. The page numbers at the bottom center open another page. The arrows open the previous and the next page. The text at the bottom left shows the entries on the page and the total.

A new filter or a new page size returns the table to page 1.

Export the log

  1. Apply the filters for the entries to export. With no filter, the export holds every entry.
  2. Select Export.
  3. Select Export As CSV or Export As Excel.

The text "Exporting" with a count and the total shows while the file is prepared. Select Cancel to stop. A cancelled export saves no file. The message Export Ready appears when the file is saved.

The file is named audit-log followed by the date. It holds these columns.

  • Time (UTC), in the format of the international standard ISO 8601
  • Member, Email and Role
  • Action, in words, and Action Key, the code of the action
  • Type, either Change or View
  • Record Type and Record ID
  • Result and IP Address

Notes on the export:

  • The entries are read in batches, a short pause apart. A large log takes longer than a small one.
  • An export holds at most 100,000 entries, the newest first. When the log is larger, the message states that only the newest entries were saved. Narrow the filters, for example by date, to export the rest.
  • The CSV file opens in Excel with all characters intact. A cell that begins with =, +, - or @ starts with an apostrophe, so that a spreadsheet cannot run it as a formula.
  • An export is itself an entry in the log.

Change the plan

The confirmation dialog of the plan change reports what happens to the audit log. See Billing.

ChangeEffect
To a plan with the audit logRecording starts on the day the change applies. Nothing earlier is available.
From a plan with it, to StarterRecording stops. The page and the export are locked. Entries already recorded stay for six months from the day they were made.
Back to a plan with the audit logThe page opens again. The entries still within six months are shown. Activity in the period without the plan was not recorded.

Notes

  • The audit log shows to the owner only. No permission setting opens it to another role.
  • A plan change takes effect when the payment provider confirms it.
  • Entries cannot be edited or deleted. The system removes an entry only when it is older than six months.
  • An entry can take a few seconds to appear after the action. Its time is the time of the action, not the time it appeared. Select the page again to read the newest entries.
