Linked Records

Connect a task to a car, a deal, a customer or a partner, or add the car from the task

A task may link to one car, one deal, one customer and one sales partner. The links appear in the Linked Records card on the Overview tab of the task page.

Requirements: the Edit Any Task permission. The rows Deal, Customer and Partner appear only for team members who may read those records. Adding a car also requires permission to create cars.

  1. Open the task page. The Overview tab is the default.
  2. In the Linked Records card, find the row Vehicle, Deal, Customer or Partner.
  3. Select Link on a row that reads Not linked. Select Edit on a row that has a record.
  4. Choose the record in the field.
  5. Select Save.

A linked record shows its name as a link to its own page. A linked car also shows its status badge.

To remove a link, select Edit, empty the field and select Unlink. A change to one row does not alter the other rows.

Add the car from the task

An inspection often concerns a car that is not yet in the inventory. The Vehicle row then offers Add To Inventory.

Add To Inventory appears only when all of these conditions hold:

  • The task has no linked car.
  • The task type is a car type. The types Follow-up, Payment Collection and Other never offer it.
  • The team member may edit tasks and create cars.
  1. Select Add To Inventory. The car form opens over the task page.
  2. Review the prefilled fields. Enter the make, the model and the other details of the car.
  3. Save the car.

The new car links to the task. The form prefills two items from the task:

  • The Link of the task, when it is a valid car listing address.
  • The notes of the car. The notes state the number of the task and its result, followed by the summary of the task. They also list each checklist line with the answer Problem, with its note. When the task has no result, no summary and no problem line, the notes stay empty.

If the task already has a car, the dialog states that the task is already about that car. Change the link on the Vehicle row to point at a different car.

Terms

The row is named Vehicle in the dashboard. The guides use the word "car".
