Introduction

Work assigned to the members of the team and to outside assignees

The Tasks page lists the jobs of the dealership, such as an inspection, a pickup or a customs clearance. Each task has a type, a priority, a status, an assignee and an optional due date.

What the area contains

Task types

The dashboard offers 17 task types in four groups.

Priorities and statuses

The four priorities are Low, Normal, High and Urgent. Priority affects the sort order only. It does not block any action.

The four statuses are To Do, In Progress, Done and Cancelled.

Comments and attachments

The Comments tab holds the discussion of a task. Each comment is either Team only or Visible to the assignee. A comment of the second kind appears on the share link of an outside assignee.

The Attachments tab holds photos, videos and documents. A task accepts at most 60 attachments. A photo may be up to 10 MB, a video up to 100 MB and a document up to 25 MB.

Access

Every team member can open the Tasks page and read every task. Other actions depend on permissions.

A team member who is assigned to a task may change its status, answer its checklist, post comments and add attachments, even without the permission to edit tasks. The three permissions Create Tasks, Edit Any Task and Hand Out Tasks can be granted to the staff role on the Permissions settings page.

Notifications

Task events create notifications. An assignment, an unassignment, a status change, a comment, an answered checklist line, an approaching due date and a task completed by an outside assignee each have an event type. The notification settings of each team member decide which channels deliver each event.

Settings

The default checklist of each task type is edited in the settings, on the task checklists page. Changes apply to tasks created afterwards.

Terms

The dashboard uses the word "Vehicle" in some labels on these pages. The guides use the word "car" for the same thing. The dashboard calls an outside assignee Outsourced in one place and External in another.
