Record Transactions

Add a payment received or a cost paid to the ledger

Recording a transaction adds one movement of money to the ledger.

Requirements

The permission Record Payments & Costs is required. The Record Transaction button does not appear without it.

Steps

  1. Open Transactions in the Finance group of the sidebar.
  2. Select Record Transaction.
  3. Select Amount In or Amount Out under Direction.
  4. Enter the Amount. Select a currency in the field when the money moved in a currency other than the dealership currency.
  5. Select the Category. The list shows only the categories that belong to the chosen direction.
  6. Select More to open the optional fields.
  7. Set the Date. The default is today. A date in the future cannot be selected.
  8. Select the Method: Cash, Bank Transfer, Card or Other. The default is Bank Transfer.
  9. Enter a Reference for an invoice number or a bank reference. The limit is 120 characters.
  10. Enter a Note. The limit is 500 characters.
  11. Select Record.

The dashboard shows the toast Amount in recorded or Amount out recorded. The entry appears in the table.

Link the entry to a car or a deal

The Vehicle (Optional) and Deal (Optional) fields appear under More. They appear only for categories that can attach to a car.

  • A car link adds the entry to the profit figures of that car.
  • A deal link also fills the Customer column with the customer of the deal.

Choosing an overhead category removes the car link when the entry is saved. The dialog shows a message when a car was already chosen.

Record a payment from a deal

  1. Open the deal and select the Payments tab.
  2. Select Record in the Payments card.

The dialog opens on Amount In with the category Deposit. The currency defaults to the currency of the deal. The entry links to the deal and to the car of the deal.

Notes

  • An amount must be greater than zero. Otherwise the dashboard shows Enter An Amount.
  • A direction change resets the category to the first category of the new direction.
  • Files can be attached while recording. See the guide on attaching files.
