Transactions

Edit and Delete

Edit an entry, refile entries under another category or remove entries from the ledger

An existing entry can be corrected, refiled in bulk or deleted. Each action changes the totals and the reports immediately.

Requirements

ActionPermission
Edit an entry or refile entriesEdit permission for transactions
Delete entriesDelete permission for transactions

Owners and managers hold both. A team member with neither permission sees no checkboxes and no row menu.

Edit an entry

  1. Open Transactions.
  2. Open the row menu with the three dots at the end of the row.
  3. Select Edit.
  4. Change the fields in the Edit Transaction dialog. The optional fields are already open.
  5. Select Save Changes.

The dashboard shows the toast Transaction updated.

  • The rate of a foreign entry stays unchanged unless the currency or the rate is changed in the dialog.
  • Changing the category to an overhead category removes the car link.
  • Changing the direction resets the category to the first category of the new direction.

Refile several entries

  1. Tick the checkbox on each row. The checkbox in the header ticks all rows on the current page.
  2. Select Change Category in the bar above the table.
  3. Select the new category.

The Change Category button appears only when all ticked rows have the same direction. The menu then lists only categories of that direction.

The dashboard refiles each row separately. The toast reports how many rows changed and how many failed. A refile to an overhead category removes the car link of the row.

The selection clears when the page, the filters or the sort order change.

Delete entries

  1. Select Delete in the row menu, or tick rows and select Delete in the bar.
  2. Read the confirmation. A single entry opens Delete Transaction. A selection opens Delete N Transactions?.
  3. Select Delete in the dialog. For a selection, the button reads Delete followed by the number of entries.

Deleting an entry is permanent. The dashboard keeps no history of the entry and no undo exists. Every report that included the entry changes.

Effect on awaiting amounts

An entry created by completing an awaiting amount returns that amount to the Awaiting status when the entry is deleted. The amount appears again on the Awaiting Payments page.

Notes

  • Money recorded on a deal or a car can be edited or deleted here. The Payments tab of a car or a deal shows the delete button only to team members who hold the delete permission.
  • Editing keeps the original recorder of the entry.
