Expense Categories

Choose a period, read the cost cards and filter the expense table by category

The Expenses page summarizes spending for one period and lists the entries behind it.

Requirements

The permission Financial Records Access is required.

Steps

  1. Open Expenses in the Finance group of the sidebar.
  2. Open the Reporting period menu and select Last 7 Days, Last 30 Days, Last 90 Days or Last 12 Months. The default is Last 30 Days.
  3. Read the sentence under the title. It states the total spent in the period.
  4. Read the cards Direct Costs and Operating Costs.
  5. Open the Category menu above the table and tick one or more categories.
  6. Select a column header to sort. The headers Category, Date and Amount sort the table.
  7. Select Clear to remove the category filter.

The total

The sentence under the title reads the amount followed by spent in the chosen period. The amount sums all money out in the period. The category filter does not change it.

The period selection applies to the Expenses page only. Each period covers whole days up to and including today.

The cost cards

Each card lists the categories that have spending in the period. A row shows the category, the amount and a percentage. The percentage is the share of the category within the card.

Each card first shows one category. Select Show all followed by the number of categories to see the rest. Select Show less to fold the card.

The cards describe the whole period. The category filter does not change them.

The table

The table lists the entries of the period that match the category filter. It shows 25 entries per page. Previous and Next appear when more than 25 entries match.

A bar at the bottom shows Total Out. It sums every matching entry on every page. The sum uses amounts in the dealership currency.

Choose the columns

Select Columns. Category and Amount cannot be hidden.

Notes

  • With no entries, the table shows No Expenses Recorded. With a category filter, it shows No Matching Expenses.
  • The Expenses page has no search box and no custom date range. Use the Transactions page for both.
