Share Invoices

Show an invoice on the shared customer page or hide it again

An invoice is visible on the shared customer page by default. One switch per invoice controls the visibility.

Requirements: permission to edit invoices (Edit Invoices & Settings). The customer needs an active link to the shared page. The guide Share a customer page describes the link.

Hide or show one invoice

Use one of these places.

  • On the invoice page, open the menu with the three dots. Select Hide from customer or Share with customer.
  • In the Invoices card of a deal page, a customer page or a car page, select the eye button of the invoice. Its tooltip reads Visible to Customer or Hidden from Customer, followed by the action of the next click.

The dashboard shows the message "Invoice shared with the customer" or "Invoice hidden from the customer".

Hide or show several invoices

  1. In the Invoices list, tick the boxes of the invoices.
  2. Select Share with customer or Hide from customer in the strip that shows the selection.

The button reads Hide from customer only when every selected invoice is shared. A mixed selection offers Share with customer.

What the customer sees

The shared customer page lists shared invoices in the Invoices card on the Documents tab. The card appears only when at least one invoice is shared.

Each row shows:

  • The invoice number.
  • The car of the first line, when the invoice bills for a car.
  • The issue date and the due date.
  • The total in the currency of the invoice.
  • A download button for the PDF.

The customer sees no lines, no internal notes and no payment status. The invoice document itself holds the lines, the payment details and the texts that the dealership printed.

Notes

  • A hidden invoice stays in the dashboard. The invoice is only removed from the shared page.
  • Hiding an invoice is the way to hold it back while the invoice is corrected or not yet ready.
  • The customer opens the document through a link that works for a few minutes. The dashboard checks again that the invoice is still shared before it creates the link.
  • The document that the customer opens is the stored document. After an edit, a customer who opens the invoice again receives the new document.

Sharing an invoice with the customer can also make it visible on the shared partner page. This applies only when the deal of the invoice names the partner and the partner introduced the customer who is billed. The partner sees the invoice number, the dates and the total, and can download the document. An invoice for a customer whom the partner did not introduce, and an invoice without a deal, never appears on a partner page.
