Attach photos, videos and documents to a car and set its cover photo



This guide attaches files to a car and manages them on the **Files** tab.

**Requirements:** The Owner or Manager role to upload, remove or change files. Car Documents Access to see and open documents. The storage allowance of the dealership must have room.

## Upload files [#upload-files]

1. Open the car and select the **Files** tab.
2. In **Photos and video** or **Documents**, select **Add**.
3. Choose a category: **General**, **Inspection**, **Loading** or **Ownership**.
4. Select one or more files in the file picker.

Alternatively, drag files onto the card. An overlay named **Drop into a group** shows the four categories. Drop the files on a category. A drop anywhere else adds the files to **General**.

A progress tray lists each file while it uploads. A failed file stays in the tray with its reason until the tray is dismissed. A successful batch disappears after a few seconds. The files appear under the heading of their category.

## Accepted files [#accepted-files]

The label at the top of the **Add** menu shows the size limit of the card.

A file that belongs on the other card is refused with a message that names the card. The dashboard shows a message for any other type and for a file above the size limit.

A JPG or PNG file added to **Documents** is stored as a document.

## Open and download files [#open-and-download-files]

* Select a photo or video to open the viewer. The viewer pages through the whole gallery in category order.
* Select the name of a document to read it in the viewer.
* Select the download button of a document to open it in a new browser tab. Its label is **Download** followed by the file name.

Documents have no public address. Each open or download uses a link that expires after a short time.

A category shows eight photos first. Select **Show all** followed by the number to see the rest. Select **Show less** to fold the category.

## Set the cover photo [#set-the-cover-photo]

The cover photo is the first photo of the car. It appears in the list as the thumbnail and at the top of the car page. A badge named **Cover** marks it.

1. Point at a photo that is not the cover. On a touch screen the buttons are always visible.
2. Select the star button, which has the label **Use** followed by the file name and **as the cover photo**.

The summary panel shows the number of photos when the car has more than one.

## Remove a file [#remove-a-file]

1. Point at the file.
2. Select the remove button, which has the label **Remove** followed by the file name.

The dashboard removes the file at once and shows **File removed**. No confirmation appears. The storage space of the file returns to the dealership.

## Notes [#notes]

* The **From Tasks** card appears when tasks of the car hold photos or clips. Those files belong to the task. Add or remove them on the task.
* The tab count includes photos, videos, task files and invoices. It includes documents only for a team member who may see them.
* The **Documents** card states that a document is visible to the team unless it is shared with the customer. Each document has its own share control. See [Share files with a buyer](/docs/inventory/share-files-with-a-buyer).
